Project Terms

  • Artwork Specifications 

    • Platform compatibility:  Artwork creation is supported on both PC and Macintosh platforms.  
    • Software requirements:  We accept artwork files created using Adobe Illustrator EPS Documents.  
    • Image quality:  Please refrain from sending low-resolution JPEGs, as they may impact the final print quality. 
    • Font and image handling:  To ensure accurate reproduction, all fonts and/or placed images must be converted to outlines/curves before submitting the artwork.  
    Guidelines - Restrictions For Art

    The art, text, or design file submitted is not unlawful, harmful, threatening, tortious, defamatory, vulgar, obscene, libelous, invasive of another’s privacy, hateful, or racially, ethnically or otherwise objectionable, is not connected to any political affiliations, associations or candidates, does not infringe on any patent, trademark, copyright, trade secret, or other proprietary rights of any third party (this includes, but is not limited to, sport teams and collegiate licensed logos or phrases), and does not otherwise violate anyone’s rights or other categories listed below.

    Trademarks and Copyrights

    Retro51 respects the intellectual property rights of others, and assumes that the artwork submitted for printing is used in full compliance with all applicable laws regarding its usage. The customer agrees to bear any liability arising from claims against Retro51 for service marks, infringements of trademarks, copyrights, patents, or personal rights.

  • Art Charges

    • Non-camera-ready art fee:
       Non-camera-ready art will be billed at a rate of $80(G) per hour for necessary adjustments and modifications. 
    • Billing for art charges: For art charges totaling $80(G) or less, we will proceed with the adjustments and bill accordingly. 
    • Approval for charges over $80(G): In the cases where art charges exceed $80(G), we will promptly contact you for approval before proceeding with any additional work.  
    • Email artwork submission: Please submit artwork via email to promo@retro51.com

       Include the following details in the email:

        • Subject line: purchase order number

       • Distributor name (if applicable)

       • Contact 

       • Contact phone number

    Acceptable file types: Ai, EPS, PDF

    *Please refrain from sending low-resolution JPEGs, as they may impact the final print quality.   

  • Set-Up Charges 

    • Imprinting set-up fee:  Imprinting comes with its dedicated set-up fee, distinct from other methods. For accurate details, please refer to the specific product page related to the desired item. 
    • Engraving set-up fee: Engraving also incurs its unique set-up fee, which differs from other decoration methods. Refer to the respective product page for precise information regarding engraving charges. 

     

    Imprint Colors 
    •  Stock colors for imprinting: The majority of stock colors are readily available for imprinting on our products. 
    •  PMS color match options: We offer PMS color matching for a precise color selection that aligns with your brand identity. To avail PMS color matching, an additional fee of $52(G) per color, per order will be applied.  
    •  Exact color match disclaimer: 

    - While we strive for accuracy, due to variances in inks and materials, we cannot guarantee an exact color match.- Imprinting on dark finishes will result in the print appearing darker than shown on the virtual proof. 

  • Order Submission and Cancellation 

    •  Order submission:  Kindly submit all orders via email to promo@retro51.com for efficient processing.  

       - All changes to the purchase order (PO) must be made in writing. Phone orders will not be accepted. 

       - Include the following information when submitting a new purchase order: 

       • PO number 

       • Product number

       • Description 

       • Quantity 

       • Unit price 

       • Decoration method 

       • Decoration instructions 

       • Event date (In-hands date)

       • Shipping instructions 

       • Camera-ready artwork

       -Complete distributor information:

       • Ensure distributor verification through ASI/PPAI/SAGE#

       • Bill To & Ship To info 

       • Federal tax ID number (if necessary) 

  • Pricing/Quotes 

    • Pricing: Published pricing is subject to change without notice. Combined quantity pricing is not available. 
    • Intermediate quantities: For orders falling between quantity breaks, you will be billed at the lower price break. ie. If you order 75 pieces, you will be billed at the 50-piece price. 
    • Large quantity pricing: For large quantity pricing, please contact the Retro51 Promotional Division directly to discuss your specific needs.  
    • Custom quotes: As a manufacturer, we offer the flexibility to modify existing products or create new ones to your specifications. Please contact the Retro51 Promotional Division directly for a custom quote.  
  • Order Delivery

    • In-hands date: If your order needs to be received by a specific date, please ensure that this date is clearly marked on the purchase order under the label "In-hands date." This information is crucial for our scheduling and fulfillment process. 
    •  Shipment method:  Alongside the "In-hands date," please specify the method of shipment to be employed to guarantee a secure and timely delivery. It is essential to include this information to facilitate the smooth transit of your order. Please be advised that once the order has left our docks, we cannot guarantee delivery. 
    •  Delivery assurance: We are committed to meeting your specified dates. However, if for any reason we anticipate that the date cannot be met, we will promptly notify you, allowing for necessary adjustments or alternatives. 
    •  Rush orders: Should you require expedited processing, we do accept rush orders based on our open production schedule. Please note that an additional rush charge of $100 (G) per order will apply to cover the expedited services. 
  • Virtual Proof 

    A virtual proof will be emailed for your review on all orders. To initiate the production of your order, we require a signed approval to be returned. The production timeline commences upon the receipt of the signed proof and the payment of a 50% deposit. 

    •  Virtual mock-ups: Artwork that does not meet our requirements or necessitates additional work from our art department will incur an art fee of $80(G) per hour. For any inquiries or clarification regarding art charges, please refer to the Art Charges section.  
  • Shipping

    • Drop shipment cost: An additional $15(G) for each distinct address location. 
    • Shipping costs: All shipping fees will be invoiced and included in the overall invoice amount, unless a shipping quote is requested before submitting the deposit.  
    • Freight on board (FOB):  Richardson, Texas. 
    • Method of shipment: Unless otherwise indicated on the purchase order, orders will be dispatched via UPS ground.  
    • Shipping address: Orders will be delivered to the billing address specified on the purchase order, unless other instructions are provided. 
  • Production Time 

    • Production: Production will not begin without written final approval and the deposit paid.  
    • Imprinting: Standard lead time is 10-15 business days following the receipt of final approval and the deposit paid.  
    • Engraving: Standard lead time is 7-10 business days following the receipt of final approval and the deposit paid. 
    • Full custom: For information on lead times for full custom or large quantity orders, kindly reach out to the Retro51 Promotional Division.  
  • Co-op Programs 

    Kindly reach out to the Retro51 Promotional Division for more information about possible co-op programs.  

    Custom Over-runs 

    Due to the custom printing process, there is a possibility of over-runs. In the event that the factory generates surplus units, we will contact you before shipment to confirm whether you would like to receive the overruns. We reserve the right to retain the excess for our records. 

  • Payment and Terms  

    • Pre-payment (Deposit): To initiate production, a minimum deposit of 50% must be submitted, and the remaining balance is to be settled upon shipping. New customers and those with overdue accounts are obliged to pre-pay. 
    • Terms: Established customers in good standing with Retro51 have the option to request Net-30 terms. Accounts exceeding 30 days past due will incur an accounting fee of 1-2% per month on the unpaid balance. 
    • Invoice: The Retro51 Accounting Department will forward a proforma invoice once the purchase order is processed to facilitate the collection of the deposit. 
    • Credit cards: We accept Visa, MasterCard, and American Express as forms of payment. 
    • ACH transfer: Please reach out to the Retro51 Promotional Division to obtain the necessary information for initiating an ACH transfer. 
    • C.O.D. orders: NOT AVAILABLE. 
  • Sample Policy 

    All sample requests must be submitted in writing via email. Please include your UPS number with the sample request. 

    Blank samples:Blank samples will be invoiced at the end column pricing.

    • Samples returned in their original condition within 20 business days will be credited. 

     

    Distributor Self-promotion 
    • Customization must contain the promotional distributor information. All set-ups and decoration costs apply.  
    • Distributors will be granted an extra 10% discount on the end column price for the pen's cost. Set-up charges will be invoiced on a (G).
  • Return Policy 

    Please contact the Retro51 Promotional Division to request return authorization and receive instructions for the return process. Returns will only be considered for defective products and/or incorrect customizations. Products cannot be returned or requested for return after 30 business days from the date of delivery. 

    •  Authorized returns: If a return request is approved, please ensure to email the tracking information once it becomes available, as this is a mandatory requirement. 
    •  Unauthorized returns: Unauthorized returns will be refused and returned to the sender. 

     

    Right to Promotion 

    Unless explicitly specified in writing at the time the order is submitted, we retain the right to utilize any item we produce for display and promotional purposes. 

  • Liability and Warranty 

    • Liability: The seller's responsibility is confined to providing credit or replacement for any portion of a shipment and, under no circumstances, shall exceed the amount charged for the goods. 
    • Warranty: The seller does not provide any expressed or implied warranties regarding the marketability or suitability of its products for any specific use or purpose. 
    Damage Claims 

    Any claims for damage incurred during transit must be promptly reported to the carrier at the time of delivery.
